Master class: Intranets, Team Sites and Document Management

  • Are you in charge of organising information, and looking to learn best practice for designing intranets and team sites?
  • Do you need to create a migration plan for large amounts of content?
  • Do you want to create a taxonomy and design navigation for your intranet, without yet knowing how to set about it and reach consensus?
  • Are you enthusiastic about web 2.0, and wondering how to introduce team sites, wikis, blogs and other collaborative tools in your organisation?

Then this two-day master class is for you, giving you insight into Namahn's methods and techniques for designing, organising and managing excellent intranets, team sites and document libraries.

Led by Koen Peters and featuring contributions from Marc Van de Woestijne, David Morgan and Olivier Renard, this highly practical master class challenges the knowledge of a small group of participants (maximum 8) and teaches them best practice.

The programme is as follows:

In the first part, we present a framework for intranet design, team sites and document management with the following layers:

  • Business drivers
Why invest in a new intranet/document management tool..., how to write a business case, and how to come up with a vision
  • Classification of information
Taxonomies, faceted classification, metadata, search, etc.
  • Governance
Setting up a good organisation structure, choosing the right governance model, the assessment of your organisation's maturity in information processing (IPMM), etc.
  • Information life cycle
A five-step decision model for document management: create, review, approve, keep and share
  • Technology
Where is information located and which technology layers are used to support the information life cycle (technology stack)

In the second part, we will look at three platforms more in detail:

  • Intranets
  • Collaboration spaces: wikis, team sites, blogs...
  • Document libraries

Throughout the course, we will present several cases of intranets and team sites. We will take the time to evaluate and review together the structure and design of your own intranet, team site or document repository, so bring some screenshots to the master class.

We will also explain (and do exercises on) practical methods and techniques employed at Namahn, such as:

  • Stakeholder interviews
  • Content analysis (content inventory/audit)
  • Information Process Maturity Model (IPMM) assessments
  • Collaborative classification workshops and card-sorting sessions
  • Navigation schemes and prototyping
  • Migration path
  • Usability testing
