Master class: Intranets, team sites and document management

During two days, you gain insight into Namahn’s methods and techniques for designing, organising and managing excellent intranets, team sites and document repositories.

This master class may be right for you if:

  • You are in charge of organising information and want to learn the best practices for designing intranets and team sites
  • You need to migrate large bodies of content and want to create a migration plan
  • You want to create a taxonomy and design navigation for your intranet, but don’t know how to proceed and reach consensus
  • You are enthusiastic about web 2.0 and wonder how to introduce team sites, wikis, blogs and other collaborative tools in your organisation

Led by Koen Peters and featuring contributions from Marc Van de Woestijne, Mieke Daniels, Olivier Renard and Michel Vuijlsteke, this highly practical master class challenges the knowledge of a small group of participants (maximum 8) and teaches them best practices for intranets, team sites and document repositories.

The program for this master class runs as follows:

On day 1, we present a framework for intranet design, team sites and document management with the following layers:

  • Classification of information
Taxonomies, faceted classification, metadata, search, etc.
  • Governance
Setting up an intranet team, the assessment of your organisation's maturity in information processing (IPMM), team sites and Enterprise 2.0
  • The information life cycle
A five-step decision model for document management: create, review, approve, keep and share
  • Technology
Where information is located and which technology layers are used to support the information life cycle (technology stack)

During this first day, we will present several cases of intranets and team sites. We will also take the time to evaluate and review together the structure and design of your own intranet, team site or document repository, so bring some screenshots to the master class.

On day 2,we focus on practical methods and techniques employed at Namahn, such as:

  • Field studies in the context of intranet, team site and document management projects (stakeholder interviews, among others)
  • Content analysis (content inventory/audit)
  • Information Process Maturity Model (IPMM) assessments
  • Collaborative mind-mapping workshops and card-sorting for classification
  • Navigation schemes and mock-up
  • Migration path
  • Content workflow recommendation
  • Usability testing
